The Contact Screen

The Contact Screen enables search, sorting, viewing, editing of existing and creation of new Contacts. You can also create Message Groups and Message Group Mappings which would be used on a lead opened in Lead Management.  After opening a new lead or an existing lead from the LM Dashboard click the “Send Message” tab to view the details on how this feature is used.

Click the arrowhead to expand the window to reveal an image placeholder and notes.

To delete a Contact, click the red “X” box. Contacts in use cannot be deleted however, can be deactivated from further use.  If there are existing leads in the system linked a contact record you will be unable to delete the contact.

Click the pencil icon to edit the contact.

Import a new Contact or VCard, edit Contact details, include social media links, a Contact image or Notes.  To export a Contact to Outlook or Google, select “Export VCard” if not using the MS Exchange Server auto-sync with Outlook or, select “Export Contact” if exporting to Outlook or Google Contacts.

 

 

To Sort the Contact screen view, drag and drop a data column to the “Drag a column header…” area on the screen. Data will sort by the selected column, or multiple columns, if more than one column is included in the sort.

 

 

For multiple page reports, use the page forward and back arrows at the bottom of the page.   To sort in ascending or descending order of a selected Data Column, click on the Data Column header.

 

 

Add a New Contact: click on the Add New Contact button. The Contact information screen will show. Complete Contact details and select Save.

 

 

To add an image for a Contact, click Upload Image. The system will go to the User’s computer for selection of an existing image. Select the image and it will populate into the Image Placeholder.

 

 

 

 

After creating a new Contact, if an existing Customer is not found, WeOpportunity will ask if you would like to create a new Customer for the Contact.

 

 

Proceed to complete the new Customer information and save by selecting Continue.

 

 

Message Groups: Message Groups can be created for us in sending messages to a group of people simultaneously from within WeOpportunity. Messages are sent via email from WeOpportunity either within an Opportunity (from Lead Management) or, from the Global Schedule as a calendar event such as a recurring meeting. Messages can be sent to Users of WeOpportunity and/or to other email addresses to Contacts outside of WeOpportunity.   Go to the Message Group tab to create new Message Groups, activate/deactivate, edit or delete existing Message Groups.

 

 

Message Group Mapping: after creating a Message Group, members of the Group need to be added. Go to the Message Group Mapping tab. Click on the Message Group you would like to add names to. Names can be other Users within WeOpportunity, Contacts within WeOpportunity.

 

 

Use Message Groups within Leads/Opportunities within Lead Management by selecting the Message Tab. When creating the message, one of the selections for sending the message includes Message Groups. Click the search window for Message Groups and existing Message Group names will show for selection. Click on the desired Message Group name(s) to include.  The history of sent Messages can be found at the History tab within an Opportunity. Click on “view” to see the sent Message.
