Creating Checkbox Templates in WeEstimate

What Are Document Options Templates?

A Document Options Template is a saved preset that controls which pages and sections are included in your proposals and contracts. Instead of manually toggling checkboxes every time you create a document, you can save your preferred configuration as a template and apply it with a single click.

Step 1: Open Template Maintenance

From the Documents screen, click the Edit button in the options toolbar. This opens the Document Options Template Maintenance window.

Step 2: Add a New Template

Click the Add button in the toolbar. A dialog will appear asking you to:

- Enter a template name (must be unique)
- Select the document template to associate with

Click OK to create the template.

Step 3: Configure Your Checkboxes

Once the template is created, the window enters edit mode with two panels:

- Left panel — Document Pages: A tree of available pages with checkboxes. Check the pages you want included.
- Right panel — Document Items: A tree of custom document sections and items with checkboxes. Check the items you want included.

Step 4: Save Your Changes

Click the Save button in the toolbar. You will see a confirmation message once your changes are saved.

Applying a Template to a Document

When working on a proposal or contract, you will see a Template Configurationdropdown. This dropdown contains three types of options:

Options and What it Does:

  • Default: Resets all checkboxes to the document template's original default settings
  • Custom: Leaves your current checkbox selections as-is (no changes applied)
  • Saved templates: Applies the saved checkbox configuration from the selected template |

Simply select the desired template from the dropdown, and the document's pages and items will update automatically to match the template's saved settings.

Tips

- Plan your templates around common scenarios. For example, you might create a "Standard Residential Proposal" template and a "Commercial Full Package" template with different pages and items enabled.
- You can create multiple templates per document template. This lets you have different presets for different situations using the same base document layout.
- Template names must be unique. If you try to create a template with a name that already exists, you will receive an error.
- Changes to a template do not retroactively affect documents. Templates are applied at the time of selection. Previously generated documents are not changed.
