What Are Document Options Templates?
A Document Options Template is a saved preset that controls which pages and sections are included in your proposals and contracts. Instead of manually toggling checkboxes every time you create a document, you can save your preferred configuration as a template and apply it with a single click.
Step 1: Navigate to Template Maintenance
From the main menu, go to Admin > Template Maintenance > Document Options.
Must have Admin access to use this feature.
Step 2: Create a New Template
Click the New Template button. You will be prompted to fill in three fields:
- Document Type — Choose either Proposal or Contract. This cannot be changed after the template is created.
- Document Template — Select the base document template this preset will apply to. This also cannot be changed later.
- Template Name — Give your template a unique, descriptive name (required).
Click Create to save.
Step 3: Configure Your Checkboxes
After creating the template, the configuration screen opens automatically. Here you will see two sections:
- Document Pages: A list of all available pages. Use the toggle switches to turn each page on or off.
- Document Items: A hierarchical list of custom sections and items. Folders can be expanded to reveal sub-items. Use the toggle switches on individual items to include or exclude them.
When you are finished, click Save to store your configuration.
Step 4: Managing Your Templates
From the template list, you can:
- Configure: Re-open the checkbox configuration to make changes
- Rename: Change the template name
- Delete: Remove the template (you will be asked to confirm)
Applying a Template to a Document
When working on a proposal or contract, you will see a Template Configuration dropdown. This dropdown contains three types of options:
Options and What it Does:
- Default: Resets all checkboxes to the document template's original default settings
- Custom: Leaves your current checkbox selections as-is (no changes applied)
- Saved templates: Applies the saved checkbox configuration from the selected template |
Simply select the desired template from the dropdown, and the document's pages and items will update automatically to match the template's saved settings.
Tips
- Plan your templates around common scenarios. For example, you might create a "Standard Residential Proposal" template and a "Commercial Full Package" template with different pages and items enabled.
- You can create multiple templates per document template. This lets you have different presets for different situations using the same base document layout.
- Template names must be unique. If you try to create a template with a name that already exists, you will receive an error.
- Changes to a template do not retroactively affect documents. Templates are applied at the time of selection. Previously generated documents are not changed.
