34902 – Lead Management: Accounting Integration: SedonaOffice: RFQ Lead: Enter ‘State’ Name: Resolved an issue where if the State name is entered manually in a lead, e.g. ‘New York’, and the lead eventually becomes a ‘won’ job which is then exported to SedonaOffice, the State reflected in the SedonaOffice job is ‘N/A’.  A dropdown selection menu has been introduced for selection of lead “State” to meet data values expected by SedonaOffice.

NEW - Sales Forms Module Available! The Sales Forms Module allows WeSuite clients to design and create digital forms within their WeSuite system for use during the sales process. Form configuration and management from design and creation to administration is completed within QuoteAnywhere. Form use is assigned to the Customer or Estimate level. Forms may be accessed for use in both QuoteAnywhere and WeEstimate. The form creator enables layout and design of forms including use of text boxes, radio buttons, check boxes, data selection, drop down selections, simple logic. Completed forms may be viewed and saved as pdfs files. Form data may be extracted via WeSuite Staging Tables for use with other applications. Contact your Account Executive to learn more.

Now Available in QuoteAnywhere! Add On Module: Automated Approvals: Admin Screen: Approval Configuration: Introduced the Automated Approvals Module for use in QuoteAnywhere.  The Administrative level includes creation, configuration, and assignment of base Approval Systems. Configuration settings currently configurable for this module are found via the Administration screen and “Automated Approvals System”.  Additional Automated Approval configuration features will be introduced in new releases. Currently supported features include:

  1. Configuration and assignment of base level Approval Systems.
  2. Job owners may trigger the request for Approval from within their jobs.
  3. Job owners may cancel the request for approval at any time prior to approval completion. The system will send notification to all Approvers within that Approval System when an approval request is canceled. The approval may be re-triggered by the Job Owner after changes are made to the job and based on approval thresholds and rules.
  4. Approvers are notified via email and within QuoteAnywhere ‘Notifications’ of jobs requiring review and approval.
  5. Approvers may review estimates for approval and approve or deny approval. If approval is denied, the Approver can note reasons so that the job/estimate owner can make changes and resubmit the job.
  6. Approvers may edit the job/estimate prior to completing approval.
  7. Approvers may withdrawal approval at any time prior to completion of approval or, prior to completion of approval by the next approver.

Approval Systems are assigned at the User level.

34291 – Add On Module: Finance Lease Module: Estimate Screen: Enhanced Lease Option Selection: introduced User selection of available Lease option(s) for calculation and inclusion on estimates and presentation on proposal / contract documents in QuoteAnywhere. Lease Option Configuration in QuoteAnywhere will be introduced in release 6.12 / Q2 2025. Lease option configurations created in WeEstimate are available for selection in QuoteAnywhere.

31810 – Administration Screen: System Settings: System Configuration: Regions and Offices, Groups: Access, Thresholds, Labor Rights, Passing: System Configuration is available in QuoteAnywhere by selection Admin, then System Configuration under System Settings. User Rights are required for access to this feature set.

Select System Configuration and then Regions and Offices.

Regions: the configuration of Regions and Offices is introduced within QuoteAnywhere. Regions are created using the “New Region” button and completing the Region Name, Description, and detail assignment for the items below. After a Region is created, the “Regional Settings” tile will appear, along with “Calculation %”, and “Accounting”.

  • Region Settings: when creating a Region or editing an existing Region configure the following information or select “Regional Settings”:

- Tax % - a specific percentage of tax is to be applied at the Region level.

- Pre-Approval and Post Approval System selections: requires the use of the Automated Approvals Module. After pre-sale and /or post sale approval systems are configured, they may be assigned by drop-down selection at the Region level.

- Labor Region Only – check this selection box if the Region is being configured for specific Regional Labor Rates that may apply to a Fixed Price Contract. Regions may be configured as “labor only” to enable control of available labor categories with pre-configured hourly cost and sell rates for use with the Fixed Price Contract Module (Configuration of the Fixed Price Contracts Module will be available in QuoteAnywhere in release 6.12).

Regional labor categories and configuration of ‘calculated’ or settings for hourly cost and sell pricing are configured after the Region is created.  Select the Region, select ‘Edit’ and select ‘Labor Rates’ from the left panel. The available Labor Categories will show. Select a Labor Category, select ‘Edit’ and configure ‘Outright’ hourly cost and sell rates, or ‘Calculated’ and complete percentage and selection of % Based On’ calculation. To make a Labor Category ‘visible’ for use, check the ‘Visible’ box prior to closing the configuration pane.

- Regions may be edited or deleted (if un-used) by selecting the “Edit” or “Delete” button at the specific Region level.

Calculation % - specific default selections for each Region are set at Calculation % including the following:

  • Default Margin: set a default gross profit margin percentage for jobs created within the Region. Check the “Site First” box if the system should check for a default margin set at the Site Address level using it instead of the Regional Default Margin.
  • Material Burden: specify a material burden percentage to be applied to all parts/materials added to Jobs. The calculation of material burden will occur automatically in the background and be added to the cost of materials.
  • Overall Burden: specific an overall job burden percentage that will calculate against the selected checkbox: “Cost” overall burden percentage calculates against job cost; “Sell” – overall burden percentage calculates against total job sell price; “On Fixed” – overall burden calculates against the ‘Fixed Price Contract’.
  • Warranty: specify a “Warranty %” to be included at the part/material item level. Select ‘% of’ to calculate the warranty percentage against – either material item ‘cost’ or material item ‘sell’.  If desired specify a “Profit %” indicating the percentage of the Warranty calculation to be set aside as ‘Profit”. If the Warranty calculation amount is to be ‘sold’ to customers (added to the sell price of the job), check the box “Warranty is sold to Customer”.
  • Freight: specify a “Freight %” and select “% of” indicating that the Freight % will be calculated as a percentage of the material item ‘Sell’ price or ‘cost’. To include the Freight calculation in the Outright Sell price to Customers, check the “Freight is sold to Customer” box.
  • Select “Save” to confirm and save all selections made.

Accounting: click the “Accounting” tile to select the integrated accounting system from the drop down at “Connection Profile”. Please note: accounting system selections will be available for configuration in Release 6.12. 

As many Regions as needed may be configured.

Region Approval System Assignment: pre-sale and post-sale approval systems may be assigned at the Region level and the Office level. Click the Region and ‘edit’. Assign the ‘Pre-Sale’ and/or ‘Post Sale’ approval system by selecting at the drop downs. Requires the use of the Automated Approval System Module.

Office Configuration: Offices may be configured in QuoteAnywhere ‘under’ each Region. –

  • 1) Click on an existing Region tile at the “Regions” tab. Click “Edit”, then click “Offices” at the left panel. Add New Office - Click “New Office” button and complete the information at the “General” screen:
  • Office Name, Description – enter “Office Name” and “Description” at the two fields (i.e. Sales Office, Regional Headquarters, etc.)
  • Region: confirm that the “Region” drop-down shows the correct office based on the selected Region.
  • Phone: enter the office phone number following the standard format: area code, primary number, followed by an extension (if needed).  Enter information carefully as much of this information is programmed for automation Proposal and Contract documents.
  • Address: at Address 1 enter Office primary street address, enter Address 2 information (secondary information such as unit or floor number), City, State, Zip / Postal Code; Country.
  • Click to ‘save’ information after completion.

Office Approval System Assignment – to assign Approval Systems at the Office level, after selecting the Region, select the Office by clicking on an Office tile. Click ‘Edit’ and then click ‘Advanced Settings’. Select the ‘Pre-Sale’ and / or ‘Post-Sale’ approval system to be assigned from the drop-down selections. Requires use of the Automated Approval System Module.

Office Burden Settings: to assign burdens at the Office level, click ‘edit’ at the selected Office, click ‘Advanced Settings’ and assign the desired burden percentages for each category:

Overall Burden – enter the percentage desired for a burden calculation to occur on the overall value of the job.

  • Material Burden %: indicate the burden percentage to be used to calculate and add a burden for each material line item added to the job.
  • Lease Burden %: indicate the burden percentage to be used to calculate and add a burden to lease/financed jobs. The Finance Lease Module is required for use of this feature.

Labor Rates: click on “Labor Rates” at the left panel. Preconfigured Labor Categories will appear. Information about each category will show in the tile (i.e. “Calculated vs Direct Hourly Cost/Sell, Cost, and Visible (vs not visible to users for selection and use in jobs). Click on the specific Labor Category tile to open.

  • Edit Labor Rate – panel will open at the right. The Labor Category name is indicated.
  • Labor Rates: the selection will highlight either “Outright” or “Calculated”.
  • “Outright” labor rates – select “Outright” to program labor rates based on the Outright sales and as set below by entering the hourly:
    • “Sell” rate
    • “Cost” rate. WeSuite recommends that the ‘cost’ be the fully burdened hourly cost to more accurately arrive at calculations such as gross profit margin.
  • “Calculated” – select “calculated” to program labor rates to be calculated based on selections made here.
    • Percentage – specify the percentage the calculation should be based on.
    • % Based On – select from the drop-down the category for the calculation to be against (I.e. None, Total Material Cost, Total Material Sell, Total Labor Cost, Total Labor Sell, or Labor Category).
    • If “Labor Category” is selected above, “Labor Category” will show, click “Select Labor Category” and chose the labor category to be utilized for calculations against the percentage specified to ‘add’ labor hours to the job.
  • Tax Configuration: select the tax configuration type: “User”, “Retail” or “Non-Taxable”.  Check the box for “Visible” if the selection criteria should be available to Users for selection/change within their jobs.
  • Select “Save” to confirm changes.

Please Note: configuration of new Labor Categories will be available with Release 6.12.

30366 + Groups Rights Configuration – creation of Group Rights is available for those with user rights. Groups are named and saved to include the specific application rights that apply to each group. Group Rights include rights to view specific application screens and access for use of specific features and functionality. Group Rights are typically created for specific application rights.  One or multiple Group Rights may be assigned to Users. Group Rights may be duplicated for ease of creation of additional Group Rights.

30483 – Admin: System Configuration: Users Configuration – Configuration of Users is available in QuoteAnywhere! Create new Users, assign Region and Office locations, Logon Settings, edit Password, set General Account Settings:

  • Associated Groups – click ‘Add’. From the selection list check the appropriate Groups to include for the User.
  • People Manager – select a User, select ‘People Manager’ from the left control panel. Select each person the User will have specific management rights for. Click each User to select the items to manage.
  • Project Engineer – ‘on’ indicates that this user is a Project Engineer and will be available for selection.
  • Enable / Disable Account
  • User Mapping – default value is ‘N/A’. Select ‘Remove’ or ‘Replace’ to change setting.
  • Associated eSign User – click ‘Add’ and select the username to associate for integrated electronic signature integration.

Additional User Settings will be available in Release 6.12.

30812 / 30338 – Admin: Groups: Group Thresholds

  • Access – definition of Groups and assignment application Group Rights to each Group.
  • User Threshold Groups – create new User Threshold Groups for assignment to configuration of User Thresholds is introduced at the ‘Group Right’ level. Create and name each new Threshold Group and assign appropriate group thresholds. Click ‘Create’ to save.
  • To assign Group Threshold to Users, select ‘Associated Groups’ at the left selection pane, click the User, click ‘Add’ at Thresholds and select the Group Thresholds to add to the User.  Repeat for each User.
  • Creation of Individual User Thresholds will be introduced in the 6.12 Release for ease of creation of specific Group Rights to single users.

30345 - Labor Right Thresholds: Introduced the ability to configure labor thresholds at the Group Level for assignment to one or multiple Users. Please note: Individual Labor thresholds assigned in WeEstimate will apply in QuoteAnywhere until modified in QuoteAnywhere.

31169 – Collapsable Fields: Introduced collapsable fields at tabs throughout QuoteAnywhere to allow Users to show / hide details.  The application default setting is ‘collapsed’. Changing the setting to ‘collapsed’ or ‘opened’ by Users will save the position.

34987 - Document Screen: Proposal Spell Check: Introduced spell check within the Cover Letter, Scope of Work, and Custom Text Item tabs in the Document screen. Spell check will flag items deemed to be mis-spelled for correction by Users.

33346 / 33347 - Document Screen: Verification of Required Estimate Fields Prior to Send: Introduced a background verification confirming that required estimate fields are completed prior to: estimates being sent via email or through electronic signature service integration and flagging Quote Packages as “sent” or “won”. Incomplete fields will be flagged for completion prior to email or sending for signature from QuoteAnywhere.

33656 - Estimate Screen: Get Latest Pricing: Modified the functionality of 'Get Latest Pricing' at the Job, Folder, and Part levels to work only for active vendors from the following connected part sources: WeSuite, integrated accounting system, PSA Security, ADI, Black Leaf Connect.

30885 - Journal Tab: the 'Journal' function is introduced at the estimate level to allow Users to create, save, and review manual and automated estimate notes. Automated Journal notes include items such as:

  1. Estimate creation date
  2. Change of Estimate Status date
  3. Submission of Estimate for electronic signing
  4. Completion of electronic signing

33882 – Program Options: Document Screen: ‘Send SMTP to Self’:  introduced a Program Option systemwide setting that when set to ‘true’ allow Users to utilize the 'Send SMTP to Self' feature. This setting ensures sent documents to default to the User's email address when sent from QuoteAnywhere. This setting defaults the User’s email address in place of the Main Point of Contact from the estimate, at the “To” line in the email from WeSuite.

33576 – Program Option: Estimate Screen: Auto-Calculate Labor Hours System Level: the icon for ‘Auto-Calculate’ labor is removed from the ‘estimate’ or ‘job’ screen and is now a system level setting. 

30886 – QuoteAnywhere: Notifications “Bell” Icon: Introduced ‘notifications’ – the ‘bell’ icon located at the upper right of the QuoteAnywhere application screen. The icon indicates the number of notifications related to sales project events for each User. For instance, job approvals complete and required, electronic signing process events, invalid email on jobs, etc. Clicking the bell icon will reveal specific job notifications.

34382 - Sales Projects Screen: Job Ownership: Job ownership is included on the Job information area for each Job show at the search results at the Sales Projects screen.

32805 – Sales Status Screen: Basic Tax Selection: introduced the Basic Tax functionality selections for Users to include calculation of tax on estimates at the Sales Status screen, Users select and save one of the following:

  1. calculate and show cost
  2. calculate and show cost and sell
  3. calculate only
  4. exclude

Configuration for use of Basic Tax is found at the Region Level in System Configuration.

Use of Basic Tax functionality may require WeSuite Professional Services to enable presentation of tax calculations on Proposal and/or Contract documents. Please contact your Account Executive for more information.

33940 - Sales Status Screen: Disabled Data List Items No Longer Available for Selection: after a Data List item is disabled in the Data List Item configuration, it will no longer be presented for selection. Data List Item Categories include:

  1. Job Type 
  2. Loss Reason 
  3. Market 
  4. Next Action
  5. Sales Type
  6. Type of Sale

Configuration of Data List Items in QuoteAnywhere will be available in Release 6.12.

Example associate User Microsoft Outlook email addresses for emails sent from WeSuite: add Account - Microsoft Graph (Outlook Mail API) to enable Outlook email address for mapping to WeSuite Users for outbound communication. After account setup in Program Options to link each User:

  • Click the Authenticate at each Application line to be added for this User.

34603 - Estimate Screen: Include Supporting Documents on WeSuite Proposals: Introduced functionality to enable pdf documents saved in Supporting Documents to be programmed for includes as part of the WeSuite proposal document. Requires programming by WeSuite Professional Services. 34308 – System Configuration: Group Rights: Flagging Job as ‘Won’: Introduced a new group right that limits the user’s ability to create a new quote package when winning a job or submitting a job for post-approval.

34069 – System Configuration: Labor Rights: Introduced the ability to enter no value in the ‘Labor Rights’ tab within User Settings.

34281 - System Configuration: Regions & Offices: Delete Region: Added the ability for users to delete a region in their environment if the selected region has no jobs or users assigned to it.

32590 - System Configuration: Editors: Chargeable Items: Introduced a new field 'GPM % (for $0 cost)' that allows you to set a default GPM % for a chargeable item that has a $0 cost. When adding the chargeable item on a job, you will be prompted to enter the applicable cost/sell of that chargeable item.

36448 - Universal Report Grid: Date Filtering: Revised the date filter within the Universal Report Grid to use the 'Last Updated Date' of a job instead of the 'Created Date'.

36013 – Accounting Integration: Bold Group - Managely: Parts Rounding Issue: Resolved an issue where if you add WeSuite parts onto a job and import that job into Managely, the parts on the imported job were rounding to the nearest rate.

35954 – Accounting Integration: Estimate Screen: SedonaOffice: Accounting RMR Items: Resolved an issue where if you added an accounting RMR item to a job, the item would be added with a term value of ‘0’ and frequency of annual instead of using what is configured in Program Options for the accounting RMR item.

37701 – Integrations eSignature: Program Options: eSignature Interface: Region Office Configuration: Resolved an issue where you were unable to edit the ‘Office/Region’ level configuration if ‘Region Office Configuration’ was set to ‘True’ in Program Options.

37171 - Document Screen: Send Quote to Customer: Resolved an issue where if you select the ‘Send to Customer’ tab on the Document screen, the Outlook client would not open that would normally allow the user to send via their email address instead.

37214 – Estimate Screen: Approvals: Rejecting a Job for Approval: Resolved an issue where if you reject an estimate, the estimate will stay in the queue waiting for approval instead of the estimate being rejected and the group being notified.

36492 – Estimate Screen: Commissions Sold as Cost: Resolved an issue where the reflected job cost and GPM were not accurately displayed if the system was using commissions sold as a cost.

37205 – Estimate Screen: Contract Parts: Enforce Lowest Price: Resolved an issue where if you added a part with ‘enforce lowest pricing’ set to ‘True’ and you have a part in open market with the same model and manufacturer as the contract part, users were allowed to get below the contract sell price of the part by using the price adjustment tool.

37393 – Estimate Screen: Contract Pricing: Resolved an issue where if you have a contract set to enforce lowest pricing enabled, editing the price of a part on a job would consider discontinued parts when only active parts should be evaluated.

37134 – Estimate Screen: Even Price Adjust: Resolved an issue where if you had project level labor on the job and made an even adjustment to the job, calculations were incorrect as it wasn’t accounting for system level labor.

35382 – System Configuration: Approval Systems: Resolved an issue where if you are configuring an approval system and you select the ‘Ignore No Cost Change Order’ and ‘Ignore Test & Inspect Only’ options, navigating through the approval system would result in an error.

37038 – System Configuration: Approvals Tab: Standard Group Triggers: Resolved an issue where you were unable to enter a value for the ‘Manufacturer’ under the ‘Standard Group Triggers’ to flag a job for approval based on manufacturer being used on the job.

34985 – System Configuration: Post-Approval Systems: Job Types: Resolved an issue where if you attempted to add Job Types to an existing post-approval system, it would not retain the job types you selected for that approval system when reopening System Configuration.

36787 – Universal Report Grid: Column Resizing: Resolved an issue where if you changed the set dates for a view in the Universal Report Grid, the column width would change instead of remaining the same.

36461 – Universal Report Grid: Date Range: Resolved an issue where if you select a date range for a sales user within the Universal Report Grid, jobs that were updated within that date range were not being illustrated.

35119 – Universal Report Grid: TCV Column Refresh: Resolved an issue where if you view jobs with Outright Sale and RMR and look at the TCV column, it was only displaying the outright sale price and not including the term total of RMR in the total sale price.
