This guide provides a comprehensive walkthrough for setting up a new document template within the QuoteAnywhere system. Learn how to define categories, configure document editors, and save your settings to ensure your quotes are formatted correctly.
1. Click "Admin"
2. Under User Settings, click "Template Maintenance"
3. Click "New Template" or select an existing template to edit.
4. Select the document template from the dropdown menu.
5. Name the template. This is user specific.
6. Click "Create"
7. On the Document Pages screen, toggle the pages that will be on when the template is utilized.
8. Click "Document Items"
9. The Document Items is how the information will be displayed on the Document Pages. It is a sub-layer of the Document Pages.
10. Select and template and then click "Category" to expand the list of configurable item.
11. Click "Equipment"
12. Click "Display"
13. Toggle on/off the display setting for the Category, Equipment, Display.
To Note: If you want a category to display on the proposal, ensure "show equipment" is selected and then the items below are "how you want the equipment to show". The same applies for Labor, Sub-Contractor, Chargeable Items, Wire, etc - make sure to select "Show".
14. Click "Labor"
15. Select Labor, toggle on and off.
16. Click "Chargeable Items"
17. Click "RMR"
18. This process can be repeated for each category that needs to display on the proposal.
19. Click "Financial Summary"
20. Click "Clarifications & Assumptions"
21. Click "General"
22. Click "Deposit"
23. Click "Save"
Configuration and categories may vary between clients based on specific system setup.
24. Click "Configure" to make changes to an existing template.
25. Click "Save" after edits to the existing template.
26. Click "Document Editors"
27. Create a new Scope of Work Template or edit an existing template.
28. Click "Cover Letter" to configure an existing or create a new template.
To note: Scope Text and Cover Letter are user specific and are not global. If a Scope of Work or Cover Letter needs to be global, please submit a ticket to WeSuite Support.
29. Click "Save" after any edits have been made.
30. Terms & Conditions are global to all users. Any edits to Terms & Conditions require system administrator access and password.
31. Click "Email Body"
32. Create a new email body template or edit an existing template.
33. Click "Save" after any edits.
